This Privacy Policy explains how Media Crafters Productions, LLC, doing business as DocSmith Studio ("Media Crafters," "DocSmith Studio," "we," "us," or "our"), collects, uses, discloses, and protects information in connection with DocSmithStudio.com, company-operated subdomains, hosted DocSmith Studio services, downloadable products, DocSmith VideoCraft storefronts and custom video services, customer support, and related communications (collectively, the "Services").
DocSmith Studio is designed to minimize the information sent to our servers. In particular, document projects and user-supplied artificial intelligence API keys are generally stored locally in the user's browser or on the user's device. When a user activates a third-party AI feature, relevant information is sent to the AI provider selected by the user, as explained below.
1 Scope of This Policy
This Policy applies to information that Media Crafters controls through the Services. It does not govern a third-party payment processor, AI provider, website, plugin, video-production platform, file-delivery provider, or other service operating under its own terms and privacy policy.
A downloadable or self-hosted edition may operate on a website, server, or device controlled by the purchaser. Information processed solely within that installation is controlled by the purchaser or operator of that installation, not by Media Crafters, unless the information is intentionally sent to us, such as in a support request.
2 Information We Collect
2.1 Information You Provide
- Account information. Depending on the version of the Services, we may collect a name, email address, username, authentication information, account status, and product-access information.
- Purchase information. We may receive your name, email address, billing country or region, product purchased, transaction identifier, payment status, subscription status, and similar order information from the payment processor. We do not intend to receive or store complete payment-card numbers.
- Support information. We collect information you provide when requesting support, including correspondence and any documents, screenshots, account details, or diagnostic information you choose to send.
- Email information. We may collect your email address, subscription preferences, and information about delivery or interaction with messages where our email provider makes that information available.
- VideoCraft order and project information. When you purchase or inquire about VideoCraft, we may collect contact information, business and brand information, project selections, creative instructions, intended audience, requested delivery information, revision requests, approvals, and communications concerning the order.
- VideoCraft project materials. We may collect the scripts, text, logos, trademarks, photographs, illustrations, audio, video, voice recordings, likenesses, brand guidelines, links, files, and other materials you choose to provide for production. These materials may contain personal information about you or another person.
2.2 Information Collected Automatically
When you visit or use company-operated websites or hosted Services, our systems and service providers may automatically receive limited technical information, including IP address, browser and device type, operating system, requested pages, referring page, date and time, general location inferred from IP address, error information, and security or authentication events. We use this information to operate, secure, troubleshoot, and understand use of the Services.
2.3 Information Stored Locally
DocSmith Studio may use browser storage, such as local storage, to retain document projects, templates, settings, preferences, and user-supplied API keys on your device. Unless a feature clearly states otherwise, this locally stored information is not intended to be uploaded to or stored on Media Crafters' servers. Clearing browser data, using private-browsing mode, changing devices or browsers, or uninstalling a self-hosted edition may remove or make locally stored information inaccessible. You are responsible for maintaining any desired backups.
3 Artificial Intelligence Features
3.1 User Supplied API Keys
Certain features allow you to connect to a third-party artificial intelligence provider using an API key that you supply. The application stores the API key locally in your browser and is designed not to transmit or store that key on Media Crafters' servers.
When you activate an AI feature, your browser may send the API key and the relevant prompt, instructions, selected text, or document content directly to the AI provider you selected. The provider may process and retain that information under its own terms, privacy policy, account settings, and service configuration. Media Crafters does not control the provider's practices.
3.2 Customer Content and AI Training
Media Crafters does not use locally stored document content, prompts, outputs, or user-supplied API keys to train an AI model. A third-party AI provider may have different practices. Review the provider's terms and privacy settings before using the provider through DocSmith Studio.
Do not submit confidential, privileged, regulated, or sensitive personal information to an AI provider unless you have determined that the submission is lawful and appropriate for your intended use. If you use DocSmith Studio on behalf of another person or organization, you are responsible for having authority to process and submit the information involved.
3.3 VideoCraft AI Assisted Production
VideoCraft may use third-party generative AI, image, audio, video, editing, storage, and delivery services selected by Media Crafters. To create and deliver an order, we may provide those services with relevant project instructions and selected VideoCraft project materials. Those providers may process information under their own contractual terms and privacy practices.
Media Crafters does not use VideoCraft project materials to train its own artificial intelligence model. We do not intentionally use facial or voice recognition to identify individuals, authenticate identity, or create biometric profiles. Some third-party production tools may analyze faces, voices, movement, or other characteristics to generate or edit requested content; use of those tools is limited to producing and supporting the requested order.
Do not provide confidential, privileged, regulated, or highly sensitive information for a VideoCraft project unless it is necessary and you have determined that the disclosure and processing are lawful and appropriate. You are responsible for having authority to provide personal information and media relating to other people, including any consent or parental authorization required for a minor.
4 How We Use Information
We use information under our control for the following purposes:
- Provide the Services. Create and administer accounts, confirm eligibility or product access, deliver downloads, maintain subscriptions, and provide requested features.
- Create and deliver VideoCraft orders. Receive project instructions and materials, produce and revise requested video content, communicate about creative decisions, provide previews and final files, and document approvals.
- Process transactions. Confirm purchases, maintain business and tax records, address payment questions, and manage refunds, cancellations, or disputes.
- Provide support. Respond to questions, diagnose technical issues, communicate about accounts, and provide service notices.
- Secure and improve the Services. Detect abuse, prevent fraud, investigate errors, maintain availability, and evaluate aggregated or limited usage information to improve performance and usability.
- Communicate with you. Send transactional emails and, where permitted, product news or marketing emails. Marketing emails include an unsubscribe method.
- Comply with law. Meet legal, accounting, tax, regulatory, and contractual obligations and protect the rights, safety, and property of users, Media Crafters, and others.
5 How We Disclose Information
We may disclose personal information in the following circumstances:
- Service providers. We may provide information to vendors that perform hosting, authentication, payment processing, email delivery, analytics, support, security, accounting, video production, artificial intelligence processing, editing, file storage, or content delivery functions for us. They receive information appropriate to the service they perform.
- User-directed AI providers. When you activate an AI feature, your browser sends information to the provider you selected. This disclosure occurs at your direction and is governed by that provider's terms and privacy policy.
- VideoCraft production providers. We may provide relevant project instructions and selected project materials to AI, image, audio, video, editing, rendering, storage, and delivery providers used to fulfill the order.
- Public use with permission. We do not publicly display a customer-specific VideoCraft project or identify a VideoCraft customer in a portfolio, testimonial, case study, or advertisement unless the customer has authorized that use.
- Legal and safety purposes. We may disclose information when reasonably necessary to comply with law, legal process, or governmental requests; enforce agreements; investigate fraud or security issues; or protect rights, property, or safety.
- Business transfers. Information may be disclosed in connection with a proposed or completed merger, financing, acquisition, reorganization, sale of assets, or similar transaction, subject to applicable law.
- With your direction or consent. We may disclose information for another purpose when you direct us to do so or provide consent.
We do not sell personal information for money. We do not currently use personal information collected through DocSmith Studio for cross-context behavioral advertising. If these practices change, we will update this Policy and provide legally required notices and choices before the change applies.
6 Payment Processing
Purchases may be processed by a third-party payment or commerce provider identified at checkout. VideoCraft payments are processed directly through Stripe or another processor identified on the VideoCraft checkout page and are not processed or fulfilled through Payhip. The provider collects and processes payment credentials under its own privacy policy. Media Crafters may receive order, customer, payment-status, subscription, tax, refund, and fraud-prevention information needed to complete and administer the transaction. Please review the provider's privacy disclosures before submitting payment information.
7 Cookies and Similar Technologies
7.1 Essential Technologies
Company-operated websites and hosted Services may use cookies and similar technologies necessary for login, session management, security, preferences, form operation, and other core functions. Disabling essential technologies may prevent parts of the Services from working.
7.2 Local Browser Storage
DocSmith Studio may use browser local storage for projects, settings, preferences, and API keys. Local storage can persist after a browser session ends and is normally controlled through your browser settings. Deleting it may remove saved projects, settings, or keys.
7.3 Analytics
We may use limited analytics technologies to understand website traffic, diagnose problems, and improve the Services. If nonessential analytics cookies are enabled, available cookie controls will identify or control them as required by applicable law. This Policy does not authorize undisclosed advertising pixels or targeted-advertising cookies.
7.4 Browser Controls and Privacy Signals
Most browsers allow you to delete or block cookies and local storage. Because browser controls differ, consult your browser's help documentation. The Services do not currently respond to legacy Do Not Track signals. If applicable law requires recognition of a universal opt-out preference signal for a data practice we engage in, we will honor the signal as required. Because we do not currently sell personal information or use it for cross-context behavioral advertising, such a signal does not presently change those practices.
8 Email Communications
We may send emails necessary to administer an account, purchase, subscription, download, security matter, support request, or material service change. These transactional messages may continue even if you opt out of marketing emails.
You may unsubscribe from promotional emails by using the unsubscribe link in the message or contacting us. We may retain limited suppression information so that we can honor the request. An unsubscribe request does not prevent messages needed to complete or administer an existing transaction or account.
9 Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including providing the Services, maintaining transaction and tax records, resolving disputes, enforcing agreements, preventing fraud, and complying with law. Retention periods vary by the type of information and the reason it is held.
Locally stored projects, preferences, and API keys remain under your control and may persist until you delete them through the application, browser, device, or self-hosted installation. Deleting information from DocSmith Studio does not delete information previously sent to a payment processor, AI provider, email provider, or other third party. Contact that provider regarding its retention practices.
VideoCraft project materials may be retained while an order is being produced and for a reasonable period afterward for delivery, revisions, support, dispute resolution, fraud prevention, legal compliance, and business records. Retention may differ by file type, package, provider, and customer request. When information is no longer reasonably needed, we may delete or deidentify it, subject to backups, legal obligations, and third-party provider retention.
10 Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information under our control. No transmission, browser storage system, website, or electronic storage method is completely secure, and we cannot guarantee absolute security.
Protect your account credentials and API keys, use appropriate access controls on your devices and self-hosted installations, and do not send a complete API key in a support message. Notify us promptly if you believe an account or information under our control has been compromised.
11 Your Choices and Requests
Subject to applicable law and our ability to verify the request, you may ask us to provide access to, correct, or delete personal information under our control. You may also request account closure, ask about deletion of VideoCraft project materials under our control, or withdraw consent where processing is based on consent. We may retain information when reasonably necessary to complete a transaction, maintain required records, protect security, prevent fraud, resolve disputes, or comply with law.
To make a request, email [email protected] and describe the request and the account or transaction involved. We may ask for information reasonably necessary to verify your identity and authority. We will not discriminate against you for exercising a privacy right provided by applicable law.
For information stored locally, use the application's deletion controls or clear the applicable browser or device storage. Requests sent to Media Crafters cannot delete information held solely on your device, within a customer-operated self-hosted installation, or by an independent third-party provider.
12 State Privacy Rights
Privacy laws in some U.S. states apply only to businesses that meet specified revenue, data-volume, or business-model thresholds. Depending on where you live and whether a law applies to Media Crafters, you may have rights to know, access, correct, delete, or obtain a copy of personal information, and to opt out of certain sales, sharing, targeted advertising, or profiling. You may also have a right to appeal a denied request. We will respond to verified requests as required by applicable law.
Media Crafters does not currently sell personal information for money or use personal information collected through DocSmith Studio for cross-context behavioral advertising. If a legally recognized authorized agent submits a request for you, we may require proof of authorization and identity as permitted by law.
13 California Online Privacy Disclosures
California law requires commercial website operators to disclose certain online privacy practices. The categories of personal information we may collect are described in Section 2. The categories of parties to whom information may be disclosed are described in Section 5. Instructions for reviewing, correcting, or deleting information are provided in Section 11. Our response to browser privacy signals is described in Section 7.4.
Third parties may collect information about your online activities over time and across websites when you independently use their services, follow third-party links, activate an AI provider, interact with embedded content, or use a payment provider. Their collection is governed by their own privacy policies and controls.
14 Children
The Services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information directly from a child under 13 through the Services. A customer who provides an image, voice, likeness, or other personal information relating to a minor for a VideoCraft order is responsible for obtaining permission from the minor's parent or legal guardian and for ensuring the requested use is lawful. If you believe a child under 13 has provided personal information to us, contact us so that we can investigate and take appropriate action.
15 International Users
Media Crafters is based in California, United States. If you access the Services from another country, information under our control may be processed in the United States or in other locations where our service providers operate. Those locations may have privacy laws different from those in your jurisdiction.
16 Third Party Services and Links
The Services may link to or interact with third-party websites, AI providers, payment processors, hosting companies, or other services. We are not responsible for their privacy, security, availability, or data-use practices. Review their policies before providing information or enabling an integration.
17 Changes to This Policy
We may update this Policy to reflect changes in the Services, technology, vendors, or legal requirements. We will post the revised Policy with a new last-updated date. If a change materially expands how we use personal information already under our control, including a new use for AI model training or third-party advertising, we will provide additional notice and obtain consent when required by law. We will not rely solely on a quiet policy change to authorize a materially different use when additional notice or consent is legally required.
